What we collect, and what happens to a document you send us.

01What this site does today

vecondo.com is a static site. As published, it:

• sets no cookies and runs no analytics, tag manager, or third-party tracking script;
• has no accounts — nothing to sign in to, no profile, no saved state stored on a server;
• does not transmit anything from the document form on Submit documents. That form is a working illustration of the intended pipeline; it does not upload files and does not send your entries anywhere;
• loads the 3D map from this same domain — building geometry is fetched from static files here, not from a third-party map provider that would see your requests.

Standard web-server request logs (IP address, user agent, requested path, timestamp) are produced by the hosting provider, as they are for any website.inferred Retention of those logs follows the host’s default and is not currently configured by us.

02Submitted documents — the part that matters

When document submission is live, this is what a file goes through. The pipeline is described in full on Methodology; the privacy-relevant steps are:

• Preservation. The original file is stored unmodified and hashed. The hash is what lets a claim be traced back to the exact file it came from. Originals are never overwritten or edited in place.
• Extraction. The document is rendered to page images, OCR’d if needed, and read twice — an extraction pass and an independent verification pass — producing candidate observations, not published facts.
• Privacy processing. Before review, personal details are flagged for redaction: individual names, unit numbers, email addresses, phone numbers, signatures, and financial information tied to an identifiable person. Redaction happens to the published record; the original file retains its content in restricted storage so a claim can be audited.
• Review. A human reviews before anything becomes canonical evidence, wherever review is required by the document class.
• Publication. What appears on a building page is the extracted, redacted claim plus its evidence class, its date, and a page-level citation.

Uploading a document does not make it public. Submissions carry an access classification — public or private (review only). A private submission informs review and can support a correction, but its contents are not published.

03Personal information in strata documents

Minutes and financial statements often name residents, owners in arrears, and parties to disputes. VeCondo’s position is that a building’s repair, permit, levy, and governance history is a matter of legitimate interest to a prospective buyer, and an individual resident’s identity generally is not.

• Governance and building events are published; the individuals named in them are not, unless they appear in a public official record in a public capacity — a tribunal decision, a permit applicant, a court filing.
• Unit-level detail is not published. VeCondo is a building-level record.
• If you find personal information about yourself on this site that you believe should not be there, email privacy@vecondo.com. Redaction requests against published personal information are actioned first and argued afterwards, not the reverse.

04Public records

Some material VeCondo publishes originates from records that are already public — permit registries, tribunal and court decisions, land-title and assessment data, municipal open data. Those records are reproduced with their source cited. VeCondo does not remove a public record from its own database because a party dislikes it, but it will correct a mis-attribution, a wrong building match, or a decision that has since been overturned, and it records the correction rather than silently editing history.

05Sharing and processors

inferred VeCondo does not sell personal information and does not share submitted documents with advertisers, brokerages, or referral partners. Operating the service requires infrastructure providers — hosting, storage, and document processing — which necessarily handle data on our behalf under contract. The specific list of processors is not finalised and will be named here before live submission opens.

06Retention

inferred Original submitted documents are intended to be retained for as long as the evidence derived from them is published, because a claim without its source is not evidence. Restricted originals are held in access-controlled storage. Concrete retention periods, deletion procedures, and the handling of withdrawn submissions have not been fixed.

07Your rights

inferred VeCondo is operated from British Columbia and expects to be subject to BC’s Personal Information Protection Act and Canada’s PIPEDA. Under those regimes you can generally request access to personal information about you that an organisation holds, request correction of it, and complain to the Office of the Information and Privacy Commissioner for BC. Formal request and response procedures are not yet established; requests to privacy@vecondo.com will be handled individually in the meantime.

08Changes

This page changes as the pilot becomes a service. The date at the top is the last substantive edit. When the tagged sections above become settled policy, the tags come off and the change is noted here.
